32nd Annual NTDA Convention Policies

As a registrant of the National Trailer Dealers Association (NTDA) 32nd Annual Convention, registrant understands and agrees to the following:

Attendees are asked to read and understand the Registrant Types below and submit corresponding registrations and payments accordingly. The NTDA has the right to correct your registration submission(s) for accuracy. If you select the incorrect member type, payment type, or provide other incorrect information, the NTDA will notify you and invoice you accordingly.

Dealer Registrant: An employee of an NTDA Dealer or Dealer Branch Member company.

Allied Registrant: An employee of an NTDA Allied Member company.

Dealer/Allied Registration Includes: Welcome Reception, Thursday Breakfast, General Session, Concurrent Sessions, Refreshment Breaks, Exhibition & Luncheon, as well as Cocktail Reception and Awards Dinner including Keynote Presentation). Optional activities and golf tournament are NOT included and require an additional fee to participate.

Exhibitor Registration: All exhibitor personnel must register (registration is NOT included with display purchase).

Sponsor Registration: Sponsors must also register. If registration is included in your company’s sponsorship package, call the NTDA at 1-800-800-4552, or e-mail registration@ntda.org to register your personnel.

Spouse/Guest Registrant: A spouse or guest is a family member or significant other whose primary purpose in attending the Convention is to accompany a Dealer or Allied Registrant. Co-workers or associates within the industry DO NOT qualify for Spouse/Guest registration and should complete an individual/additional Dealer or Allied Registration. If your spouse and/or guest(s) is traveling to the Convention with you, we encourage you to register him or her. Spouse/Guest registration includes: Welcome Reception; Thursday Breakfast; Exhibition & Luncheon, Cocktail Reception & Awards Dinner. If spouse/guest volunteers for Convoy of Hope, she or he will be invited to attend a Luncheon on Friday, Oct. 14, 2022. Spouse/Guest registrants are also invited to attend educational sessions if interested.

Dealer & Allied Packages: The NTDA offers a Dealer Package and an Allied Package that includes one Dealer or Allied Registrant plus one spouse/guest at a discounted rate. Additional registrants or guests may register individually using a different payment method if so desired (e.g., a check or different credit/debit card than a Dealer or Allied attendee). If paying with a different form of payment, please register your spouse/guest separately and contact the NTDA at 1-800-800-4552, or e-mail accounting@ntda.org.

Child Under 17: There is no charge for children 17 and under, but they require a badge. Additional fees apply for golf and/or optional activities/tours.


For safety and security, badges are required by the NTDA to attend any Convention function.

Golf: Golf is NOT included with Convention registration and requires an additional fee. Pre-registration is required for golf. No registrations for golf or rental clubs will be accepted after Sept. 16, 2022. Golf tournament registrations will be accepted on a first-come, first-served basis.

Payment: All registrations must be prepaid no later than Sept. 16, 2022. Credit card payment is preferred for registrations. All payments are due within 30 days of invoice. A late fee equal to 1% of the total invoice will be accessed for payments not remitted within 30 days. Ten percent (10%) of the total invoice will be accessed on all unpaid balances after 90 days. There will be a $35 charge for returned checks. Invoices may be paid via Visa, MasterCard, or AMEX at https://ntda.org/services/pay-invoice-online/. No Payment = No Badge/No Entry.

No Badge = No Admission: Individuals who are not registered or who do not have a badge will not be permitted to attend ANY of the conference programs, participate in receptions, meals, or other social events, nor have access to the Exhibit Hall. This policy will be strictly enforced for the safety and security of our registered attendees. Your cooperation is greatly appreciated.

Drawing Winners: If you won a drawing in 2021 that includes registration, golf, an optional tour, or spa treatment, please contact the NTDA at (810) 229-5960, or e-mail registration@ntda.org to register.

Photography/Video Policy: By registering for this event, you consent that photos and videos of you at the event may be published or posted in future marketing materials, in online photo albums, or on photo/video sharing sites (social media) at the sole discretion of the NTDA.

Cancellation Policy: Substitutions allowable. Convention registration cancellations, including golf and/or optional activities/tours, must be received in writing by July 31, 2022 to qualify for a 100% refund. Convention registration cancellations, including golf and/or optional activities/tours, received in writing between Aug. 1, 2022 and Aug. 29, 2022 qualify for a 50% refund. Convention registration cancellations, including golf and/or optional activities/tours, received Aug. 30 and after are NOT eligible for a refund. Please note that your bank may take 3–7 business days to process a credit card refund once issued by the NTDA. Check refunds will be returned within 30 days.

Please be aware that there is another large group at The Broadmoor moving out on Tuesday, Oct. 11, 2022. As such, the hotel is completely sold out through Oct. 10, 2022. Suites are sold out through Oct. 11, 2022.

Please be sure to reference the NTDA Convention to receive the group rate when making your hotel reservation. Reservations at The Broadmoor must be made no later than Sept. 16, 2022. However, please note the room block tends to sell out, so it is recommended that you make reservations as soon as possible. Check with The Broadmoor reservationist regarding cancellation policies and any applicable fees.

A credit card is required at the time of reservation payable via Visa, American Express or MasterCard to The Broadmoor. All reservations require a valid credit card and picture identification at time of check in.

Room reservations are NOT included in your convention registration and must be made directly through The Broadmoor via the link provided or by calling The Broadmoor. Sponsorship does not provide you with a room reservation and it does not guarantee you a certain room type at The Broadmoor.

The NTDA staff is NOT responsible for attendee room reservations nor cancellations. You are responsible for your own Convention registration(s), timely payment thereof, hotel reservations, air and ground transportation, and other travel/housing arrangements.

Event Cancellation, Attendee Hold Harmless & Indemnification: The National Trailer Dealers Association (NTDA) continues to monitor COVID-19 and will disseminate any public health-related information as it relates to the Convention and your safety. If The Broadmoor deems the NTDA Convention may not be held in 2022 due to events out of their control, your Convention registration fee will be refunded by the Association. The NTDA is not responsible for refunding of hotel, travel-related expenses, or rebooking fees. Each sponsor, exhibitor, participant, hired service provider, volunteer, Board member or staff member should realize that there are inherent risks, hazards, and dangers involved including transport of equipment, travel to/from the event, and, of course, participation in the event itself. Attendee expressly agrees to indemnify, defend, and hold harmless NTDA, its directors, officers, members, employees, independent contractors, and affiliates from and against all claims, actions, losses, liabilities, expenses, damages, and/or judgments, including litigation costs and attorney’s fees, which arise or result from attendee’s involvement with, and/or participation in, the 32nd Annual NTDA Convention, including but not limited to those arising from, or related to, the COVID-19 pandemic. All attendees voluntarily participate in this activity. If attendee should need medical treatment as a result of participation in NTDA Convention/Exhibition, travel to and from the NTDA Convention/Exhibition (including air and ground travel), or any events incidental to this Convention/Exhibition, including but not limited to treatment arising from, or related to, the COVID-19 pandemic, attendee agrees to be financially responsible for any costs incurred as a result of such treatment. Attendee is aware that the NTDA does not provide health insurance for Sponsors, Exhibitor personnel, Convention attendees, its Board of Directors, or any third-party service providers, and that all Convention participants should carry their own health insurance. Signature required by each registrant. Each registrant agrees that if the Convention is canceled, the NTDA may retain a $50 per person cancellation processing fee to cover resulting administrative and accounting costs.
